If you’re new to real estate or have been operating in the business for some time and are curious about what separates the average agent from successful ones, there are some easy tips to learn. 

If you’re interested in becoming more productive and organized in your workday,  learning about the strategies and routines of successful real estate agents will give your business a powerful boost. 

Every successful real estate agent has one thing in common. No, it’s not that they close more transactions than everyone else. That’s the byproduct of the systems they put in place and the actions they take that become positive habits. 

The one common thing that separates successful real estate agents from everyone else is how they structure their day with a daily schedule.

A daily schedule is more than what’s on your plate for the day. You should put a schedule together with intention so that you’re not scrambling and reacting to all the different things that pull on you during the day. 

Successful real estate agents all know that being intentional in their schedule-making is the key to being more productive, having more energy, and being more satisfied in their work/life balance. 

The beauty of being in real estate is that you get to set your hours and schedules in many cases. The problem with real estate is that you get to set your own hours and schedules. What do I mean by that? 

If left to themselves, most people lack the discipline to stay on task when motivation is low. It’s hard to make calls and lead generation all day long when the weather is nice, you’re not getting much response from your efforts, and you just don’t feel like working. 

Because we all lack motivation and discipline sometimes, finding other ways to stay on track is important. That’s why a mentor or coach is vital to your business. 

Mentors And Coaches

Finding a mentor that will help you establish systems and routines throughout your day and make your efforts more efficient will accelerate your business growth. 

Mentors are usually agents within your brokerage performing at the levels you’d like to achieve. 

Sometimes they are professionals outside your office, but typically the relationship is one in which you assist the mentor with specific tasks. In return, they show you things that helped them achieve their level of success. 

A coach is someone you pay to help you plan and execute your strategies and advise you on becoming more efficient in your work.

Both a mentor and a coach are people that can help you stay disciplined and are people you become accountable to in your business. 

Becoming better in your real estate business requires deliberate action and intricate analysis of what you do well and areas you could improve. Mentors and coaches can provide you with somebody who is experienced in the business and can help shape strategies with you. 

All successful people have had a mentor at one point, and most have used the services of a professional coach at some stage of their development. The highly successful ones are probably still regularly consulting with their mentors and coaches to stay on track. 

Morning Rituals

Morning rituals are routines that are done first thing in the morning and without fail. 

You probably already have a morning routine and just don’t know it. For example, if the first thing you do when you wake up is starting the coffee machine and have a cup of coffee while checking email, that’s your morning routine. 

If you’re a real estate agent that is a parent, then your morning routine might be getting your kids up, fed, and ready for their day. 

These two are examples of morning rituals that aren’t deliberate and that are not planned out. 

But a morning ritual for successful real estate agents is something they do every day but is also intentional. The difference is that while you may have a routine that you just fell into because of demands or other people, successful people have a morning routine that they chose and would be disruptive to their day without it. 

You may have 20 minutes dedicated to meditative mindfulness first thing in the morning, or maybe you work out for 45 minutes at the same time every day. Or if you have other demands on you first thing in the morning, consider waking up 15 minutes earlier and devote a little specific time to a morning routine. 

You may choose to wake up and read a passage in a book, especially something that will inspire and motivate you. Don’t focus on work-related topics. Instead, focus on something creative or self-improvement related. 

The point here is to allow you and your brain to ease into the day by having a routine that has become a healthy habit. What successful people know is that the power behind starting your day with a morning routine sets the stage for a day full of energy, confidence, and focus.

Prioritize Tasks

Successful real estate agents know that the strength of their daily schedule is in prioritizing their tasks and the time they have available for each one. The trick is figuring out a structure that lets you set your tasks into what is important, what is urgent, what is less important, and what is not essential or urgent. 

Knowing what tasks are more critical and are needed to be done sooner will help you schedule them in a way as to increase your productivity without draining your mental energy. 

If reaching out to your sphere of influence is a priority (which it is), then that should be a task that is high on your list. 

A successful agent knows the power of putting the important things first and how that impacts productivity. 

Prioritizing your most important activities first helps get those things that bring you the highest results done when you have the most mental energy to accomplish those things. 

Placing the least important and least urgent activities until later in the day, when your energy is depleted and those tasks aren’t crucial, is an excellent strategy for maximizing outcomes and productivity. 

Time Blocking Skills

Time blocking is a strategy that focuses on the skills and techniques of time management. All successful people, from athletes to business owners, know that time management is foundational to success and achievement.  

Time blocking is a time management strategy that lets you take portions of your day and assign them to specific tasks. 

Time blocking lets you put in place a schedule for your day from your morning ritual, lead generation and marketing, appointment setting, and other tasks, as well as decide how much time each will take to complete. 

An example of time blocking in a daily schedule would look something similar; 

6-8 am wake up, exercise, and get ready for the day

8-10 am lead generation or learning about market trends

10-11 am Meetings with Coach or Mentor, or extend morning block tasks

11-12 pm Lunch and personal downtime

12-2 pm Lead generation, marketing, appointment setting

2-5 pm Meetings with clients and appointments

5-6 pm Review the day, respond to emails and calls, social media engagement, and set priorities for the next day.

If you notice anything here, it is that the day is blocked with essential tasks to be done during specific time frames. And what’s more, successful agents know the one hack to even more productivity in their schedules. That hack is a technique known as the Pomodoro Technique. 

What Is The Pomodoro Technique?

The Pomodoro Technique is a time management strategy that stresses doing small, intense amounts of work with built-in breaks. In general, to utilize the Pomodoro Technique, simply set a timer for 20 minutes. During that 20 minutes, work on just one task. 

If you finish the task earlier than 20 minutes, move on to another. Never work longer than the set time; take 5 minutes to break from any work or task once your time is over. 

If it takes walking out of the office or listening to music, or if you’re at home, changing the clothes from the washer to the dryer, anything other than work-related activities is ok.

The Pomodoro Technique takes your time blocks and makes you much more productive during the allotted time. 

Successful Real Estate Agents Are Not That Different From You

What separates successful real estate agents from everybody else is that their days are much more scheduled and specific than the average agents. Every portion of the day has an assigned task and a set amount of time. 

Establishing a system that includes taking time for yourself and breaking your work day into small time blocks allows you to plan and prioritize more effectively. For example, knowing that you have a couple of hours to do lead generation or to follow up with your clients will boost your productivity immensely.
